Positions:

Office Manager & Marketing Specialist

Title: Office Manager & Marketing Specialist
Status: Closed

  • Up to 20 hrs/wk during the Academic Year
  • Up to 20 hrs/wk during Winter Break (some time off is negotiable)
  • Up to 20 hrs/wk during Spring Break (some time off is negotiable)

Responsibilities:

Marketing Specialist Duties (40%)

  • Work with the Student Program Coordinators to promote programs designed to increase the retention and success of OSU-C students
  • Responsible for the Marketing of initiatives created by the Student Life Office and the Cascades Adventures program.
  • Oversee the monthly Student Life e-newsletter
  • Maintaining a calendar of events
  • Managing the Student Life Social Media sites

Office Manager Duties: (40%)

  • Oversee the management of the Office of Student Life including but not limited to:
    1. Answering the Office of Student Life phone
    2. Checking Voicemail
    3. Checking and responding to emails
    4. Picking up and distributing mail
    5. Maintaining office organization and cleanliness for Office of Student Life, ASCC office, and ASCC Conference Room.
    6. Coordinating office supply inventory
    7. Running errands on and off campus
  • Greet visitors to the Office of Student Life, providing well-informed responses to their inquiries.
  • Distribute student organization’s posters & flyers to campus bulletin boards.
  • Shred or file confidential documents as directed.
  • Provide administrative support to all entities within the Office of Student Life including Programming Board, Cascades Adventures, ASCC, SFC, etc.
  • Support the Outdoor Gear rental program by checking in/out equipment

Office Staff Management (20 %)

  • The Office Manager will develop the student Office staff schedule for the quarter
  • Manage time off requests, and shift switch requests.
  • Staff development initiatives to create a productive Office Assistant staff
  • Will be responsible for training new Office Assistant staff members
  • Perform other duties as assigned

Minimum Requirements:

  • Must have completed at least one year at OSU-Cascades
  • Must be enrolled in at least six (6) credits at OSU-Cascades
  • Must have and maintain a cumulative GPA of 2.5 or higher throughout the employment period
  • Must have a clear judicial record

Desired Qualifications:

  • Creative with the ability to design and produce marketing material using software such as MS Publisher, Adobe Creative Suite (Photoshop & Premier), or by hand
  • Understands and can use social networking tools to market Student Life initiatives
  • Experience planning events and collaborating with campus partners to achieve success
  • Able to complete work in an accurate and timely manner with autonomy
  • Has prior office experience with the ability to multi-task, assist with the organization, and maintain office functions to ensure efficient and effective operations
  • Able to manage time efficiently and abide by strict deadlines
  • Technologically oriented and proficient in Microsoft Office Suite, Google Apps, and interested in emerging technologies and how to utilize them to support the Office
  • Possess strong interpersonal communication skills
  • Organized and detail oriented
  • Motivated, energetic, and able to maintain a positive attitude, especially in stressful situations

Student Program Coordinator

  • Able to volunteer for occasional weekend and special events such as New Student Orientation, Welcome Week, and other Initiatives developed by the Office of Student Life

Responsibilities:

  • Create, expand, and develop programs designed to increase the retention and success of OSU-Cascades Students.
  • Help to organize and coordinate Fall, Winter, and Spring Welcome Week programs.
  • Help to coordinate New Student Orientations
  • Provide general office support including: answering phones, checking and responding to emails, assisting walk-in students, and others
  • Other duties as assigned

Minimum Requirements:

  • Must have completed at least one year at OSU-Cascades by June 2016
  • Must be enrolled in at least six (6) credits at OSU-Cascades
  • Must have and maintain a cumulative GPA of 3.0 or higher throughout the employment period
  • Must have a clear judicial record

Desired Qualifications:

  • Experience planning events and collaborating with campus partners to achieve success
  • Able to complete work in an accurate and timely manner with autonomy
  • Possess strong interpersonal communication skills
  • Organized and detail oriented
