Moving out of your space on campus?

Moving out at the end of the academic year

Follow these steps to ensure your move-out goes smoothly.

  1. Familiarize Yourself. Look for hall closing information sent to your OSU email and for posted information in the hall. 
  2. Notify Housing of Your Departure Plans. Log into the myHousing portal and follow the instructions under the What are your End of Year Plans? section.
  3. Clean. Move all belongings out and completely clean the room - see the list further down this page. If you have excess belongings to get rid of, consider donating them.
    1. Remove all belongings from the room and building
    2. Take out your trash and recycling
    3. Reset all furniture
    4. Clean the room
    5. Clean shared areas
    6. Remove you bike
    7. Lock all windows and doors
  4. Schedule check-out with your RA or complete the Express Check-Out Form. If you opt to use the Express Check-Out Form, a staff member will inspect your room after you have left.
  5. Check your account. Check your student account for any charges or fees based on the condition of your room or move out.

Moving out before the end of the academic year

Follow these steps to ensure your move-out goes smoothly.

  • If you are canceling before your Housing and Dining contract begins (move-in):
    • Complete the Housing Cancelation Form found on the myHousing portal.
    • To see the status of your cancelation, log into the myHousing portal.
    • Check your student account for any charges or fees based on the condition of your move out.
  • If you are canceling after you have moved in or between terms:
    •  Complete the Housing Cancelation Form found on the myHousing portal.
      • Note: Moving out before taking any action to notify us while your contract is still current will result in continuing charges, and may result in additional fees for an improper checkout.
    • To see the status of your cancelation, log into the myHousing portal.
    • You will receive an email notice confirming your cancelation approval. 
    • Check your student account for any charges or fees based on the condition of your move out.   
  • If approved to move out:
    • Contact your Resident Assistant to schedule a room inspection.
    • Move all belongings out and completely clean the room.
    • Complete the room inspection with your Resident Assistant and sign your room condition report.
    • Send an email to housing@osucascades.edu when you have completely moved out.
    • Check out with the mailroom for any remaining mail.
    • Check your student account for any charges or fees based on the condition of your room or move out.

Steps to a clean room

Cleanliness is the absence of dirt, including dust, stains, bad smells and garbage. Cleaning is not only about appearance, but is critical to the overall health and productivity of the hall's residents.

Steps to a Clean Room

  1. Remove all belongings from your room, your kitchen locker, and bike storage.
  2. Take out your trash and recycling to the appropriate receptacles.
  3. Ensure all original furniture is in the room. You are responsible for all missing or broken furniture.
  4. Completely clean your room.

Cleanliness upon checkout includes, but is not limited to:

  • All room surfaces wiped down (i.e. window sill, desk top, walls, etc.).
  • Floor is swept and mopped or vacuumed.
  • Wardrobe and dresser are emptied and wiped down.
  • Room door, ceiling, and walls are free of tacks, tape, adhesive strips, moon / stars / comets.
  • Mattress is wiped down and bed is assembled correctly.
  • Room window has the screen in place and is free of stickers, smudges, cobwebs, etc.
  • All furniture is clean and in the condition that was noted upon check-in. Discrepancies may result in fees being assessed.
  • Trash and recycling bins have been emptied and are clean inside.
  • Toilet, shower, and sink surfaces are all wiped down.
  • Garbage disposal is cleaned with soap and water (if applicable).
  • Stove range is wiped down (if applicable).

Potential Fees: Failure to follow checkout procedures may result in an improper checkout fee of $50.00 or a cleaning fee up to $250.

Frequently Asked Questions

  • What if my roommate is staying in the room?

    • Complete the cleaning process for your side or portion of the room. Residential Education and Housing staff will still check the garbage can, window, and floor, to ensure cleanliness, so it is important to make sure that these common spaces are clean upon your check-out.
  • What happens to my mail when I check out? 

    • Mail is held for up to one week after your checkout date, and is forwarded for 30 days. Your mail will be returned to sender, so please update your address with the various companies and people from whom you receive mail. Be sure to update your mailing address at Student Online Services as soon as you know your new address.
    • If you filled out a Change of Address with the US Postal Service in the fall, you can cancel it within one year at the post office. However, the USPS will not forward mail to a residence from a business address like OSU-Cascades, so a new Change of Address is not an option. 
  • Will I be charged a cancelation fee?

    • A cancelation fee is assessed if you move out before the end of your contract but will remain a student at Oregon State University - Cascades. Please refer to your Room and Dining Contract for specific information on cancelation fee criteria.
  • What if I don’t agree with a charge on my account?

    • If you disagree with any of the fees that you have been assessed, please complete a Housing Petition for Financial Appeal through the myHousing portal.
